Claude can explain accounting concepts. Draft a chart of accounts.
Answer general questions about cash flow. Summarize a report you paste into it.

That part works.

The part that doesn’t?

Claude can’t log into your accounting software.
It can’t catch duplicate entries.

Trust bookkeeping is a specialty

My new client came to me completely frustrated, after he realized that his last bookkeeper set up his books without a Trust account. For over a year, this young lawyer assume , like many others, that all bookkeepers understand Trust Bookkeeping.

The accounting fundamentals may be similar, but trust accounting requires a completely different level of process, compliance knowledge, and system understanding.

General bookkeeping knowledge just isn't enough to meet regulatory structure, or understand three-way reconciliations and why it's needed.

A Trust Bookkeeper just isn't the same as your general bookkeeping.

One month , meals are categorized as “Office Expense.”

The next month, they go under “Travel.”

Amazon purchases get split between three different categories depending on the day.

Software subscriptions end up in “Miscellaneous.”

Eventually you look at the P&L and think:

“This doesn’t really tell me anything.”

And you’re right.

Because bookkeeping structure matters.

How do you pay yourself?

"When there's enough left over."
"Whenever I remember to."
"Honestly... not that often."
"When bills are due and I have no choice."

That tells more about the health of a business than any report.

Because how you pay yourself is how you value your business.
If you are waiting for leftover money — there will never be enough.
If you are paying yourself last — you are running a charity not a business.
If you have no system — you have no financial foundation.

Here is what I know after working with small business owners — those who pay themselves consistently, even a small amount on a set schedule, have healthier businesses.
Not because they have more money. Because paying yourself requires you to actually know your numbers.

It forces the question — can my business afford this?

Most people don’t wait until their entire house is out of control to start cleaning.
They wipe the counters.
Do the laundry.
Take the trash out regularly.
Because small messes are easier to manage than major cleanups.

Business bookkeeping works the same way.
A few missed transactions turns into months of uncategorized expenses.
One skipped reconciliation becomes multiple accounts that no longer make sense.
And eventually, the financial side of the business starts feeling overwhelming.
You tell yourselves:
“I’ll catch up later.”
But later usually takes much longer than staying consistent in the first place.

Client said to me “I don’t like QuickBooks, it just never worked for me.”
