We are urgently looking for an Administrator / Billing Clerk to join a medical practice in Midrand.

DUTIES AND RESPONSIBILITIES
• Retrieve, reconcile and monitor all remittance advices
• Attend to resolve claim rejections
• Maximise payments received from medical schemes
• Request authorisation from the medical aid schemes on various platforms
• Follow-up on all outstanding claims
• Follow-up on short payments
• Update and send invoices to cash patients
• Action and update weekly statistical report
• Update the Alegra system with all relevant information
• Reduce the total outstanding balance in the Age Analysis by focusing on collections and reconciliations
• Assess and reconcile all outstanding claims to ensure the balances are accurately represented on the system
• Capture and Submit all IOD claims
• Identify any incorrect billing to amend and resubmit claims accordingly
• Submit weekly Claim Status Reports with detailed feedback
• Update the Alegra system with all relevant information
• General reception / admin duties
• Update and action sessions tracking report
• Attend and promote Wellness days
• Follow up monthly with historical patients
• Follow up on patients who did not attend their appointment

MINIMUM REQUIREMENTS
• Matric
• Minimum 2 years’ working experience as an Administrator / Billings Clerk in the medical industry
• Proficient in MS Office and Excel
• Proficient in Medical Aid CRM Systems and portals
• Ambitious and eager to learn

RESPONSIBILITIES
• Create and managing purchase orders for Primary and Secondary Freight
• Purchase of stock from the factories local and abroad
• Create and maintaining of materials after production

• Confirm of ports for all containers before they are shipped to South Africa

KEY ACCOUNTABILITIES

Master Data
· Initialise product commercial master data
· Collect/expedite product master data fulfilment ensuring the completion of info from involved functions

Order Management/ Fulfilment
· Receive customer orders and verify data consistency ensuring order conformity to avoid business violations
· Manage the merging of orders to optimise transportation ensuring balance between order fulfilments, cost and punctuality
· Balance product allocation to the customers on the basis of delivery priority and allocated quote, thereby supporting all the critical requests in accordance with key account manager
· Ensure the products replenishment for customers, leveraging on Service Level and stock level agreed previously
· Enable all mechanisms in order to guarantee a smooth product return according to the shared procedures
· Ensure a proper exception management, supporting Crisis Management Committee on specific cases (e.g. product recall) drawing up ad hoc recovery plan

Order to Delivery and Logistics Collaboration
· Engage Demand Planning, Supply Planning and SC warehouses to ensure order feasibility
· Interact with customers in cases of transport delays or any specific matters in order to guarantee the Service level
· Build and maintain strong customer relationship through a regular contact review with customers
· Collaborate to develop new business from existing customers improving customer’s satisfaction and monitoring performance by pursuing joint business plan and scorecard
· Collaborate with the sales department to strength collaboration also in the definition of new route-to-market
· Lead and manage projects aimed at improving logistics collaboration and ultimately service level for customers
· Is the key reference for logistics claims interacting with the Finance department, and acts as the entry-point and final validator

Performance Management
· Monitor the case fill rate and on time delivery
· Monitor the shelf availability in order to ensure optimal freshness to the customers
· Ensure a proper service level through the service level monitoring from DC to stores
· Monitor the cost to serve to optimise customers P&L

Minimum requirements
· BCom Degree / Diploma in Supply Chain
· At least 2 years’ experience in customer service and order management
· Experience in FMCG would be a plus
· Strong knowledge in Microsoft Office (Excel & PowerPoint)
· Valid drivers’ licence and own vehicle
