🤯 Documents That Need Consular Legalization for Work Permit Applications 🤯
👉 Applying for a Work Permit is usually quick, but legalizing foreign documents takes longer. Don’t wait until you’re about to submit your Work Permit application to rush the consular legalization process, especially if you’re unsure which documents need legalization.

1️⃣ Professional Qualifications (Degrees, Certificates, etc.)
▶️ These documents prove the employee’s professional qualifications. Degrees issued abroad and intended for use in Vietnam must be consular legalized and notarized translated into Vietnamese.
Note: Requirements differ depending on the position (Manager, Executive, Technical Worker, Specialist). Make sure the employee’s qualifications match the position to avoid rejection.
2️⃣ Work Experience Confirmation Letter
▶️ This letter must be issued by the previous foreign employer on the company’s official letterhead. It should clearly state: employee’s full name, position held, working period (from … to …), and a description of duties performed.
⚠️ Common pitfalls:
‼️ Job description is too generic or does not match the position in Vietnam.
‼️ Missing signatory information (name, title, signature).
‼️ Insufficient experience period for the position (typically at least 2–3 years).
3️⃣ Criminal Record Certificate
▶️ This document confirms whether the foreign employee has any criminal record. If issued abroad, it must also be consular legalized for use in Vietnam.
⚠️ Note: The certificate must be issued within 6 months from the date of submission. You may also use a criminal record issued by a competent Vietnamese authority.
4️⃣ Medical Certificate (if issued abroad)
▶️ A foreign-issued medical certificate may be used if Vietnam and the issuing country or territory have a mutual recognition agreement, and the certificate is not older than 12 months from the date of issuance. It must also be consular legalized for use in Vietnam.
⚠️ Tip: It’s recommended that foreigners undergo health checks at authorized medical facilities in Vietnam. See the list of approved clinics under Circular No. 14/2013/TT-BYT.
5️⃣ Other Documents (case-specific)
▶️ Appointment letters: applicable for internal transfers within a company.
‼️ IMPORTANT: After all the above documents have been consular legalized, the final step is to notarize the Vietnamese translation and complete electronic authentication in Vietnam. This step requires absolute accuracy. Even a small mistake can force you to start over.
