Castlebrook Law, P.C. is a fast paced professional general practice law firm focusing on Family Law, Real Estate, Estate Planning, and Misdemeanor /Traffic Law located in West Dundee, Illinois. This position’s primary focus will be to be the primary support person to our Managing Partner and secondary support to our administrative team.

The person hired for this role will be responsible for assisting our managing partner in both business development and legal practice. The right person should be able to implement business strategies, have awareness of marketing and social media, be able to forecast, monitor timelines, schedules, and appointments, perform proper gatekeeping functions, and finally be interested in law and willing to learn litigation, legal writing, and research skills (will train the right candidate).

The person applying for this position must be capable of working in a fast-paced environment with time-sensitive materials, must be highly organized, have flexibility in being able to shift gears and adapt accordingly, have a high attention to detail, be able to handle high stress situations, and be able to deal effectively with extensive client and attorney contacts, all while maintaining strict confidentiality due to the nature of the position.

This position is to be the primary and personal support person to the Managing Partner as necessary in both a legal and business capacity in order to fulfill firm objectives.

Essential Job Duties:

This list is non-exhaustive and subject the discretion of the Managing Partner

General
· Greet Clients in a kind and professional manner
· Provide professional telephone support
· Prepare and maintain accurate Master Client records and files
· Schedule and maintain attorney’s calendars
· Assist in legal billing
· Assist in keeping practice supplies ordered in timely manner
· Assist in keeping practice facilities neat and orderly
· Assist in Managing Partner organization and time management
· Collaborate with Office Manager and other Paralegals in both legal and business planning strategies and objectives, development, and implication of the same
Legal
· Legal email correspondence
· Prepare Legal documents (Notices, Motions, Responses, etc.)
· E-File Legal documents
· Process Court Orders according to practice procedures
· Prepare retainer agreements
· Prepare Estate Planning documents
· Prepare Real Estate documents
· Research
· Other various legal work
Business Related Duties
· Monitor attorney email as necessary
· Maintain attorney scheduling and calendar
· Filter attorney phone calls
· Process office mail
· Assist in developing marketing strategies
· Assist with social media
· Assist in business forecasting and budgeting
· Assist in compliance and licensing
