Warner Robins Family Law office seeking receptionist to assist in a fast-paced environment within a friendly, legal office. The ideal candidate is someone who is extremely reliable, has a professional phone manner, can multi-task and knows how to prioritize. The front desk Receptionist/Administrative Assistant will handle the phones, filing, tracking client files, follow up on calls, and complete assigned administrative tasks using MS Outlook, Word and Excel.
1. Job Purpose:
Serves clients by greeting and assisting with initial consultation and hiring process; scheduling appointments; maintaining records and accounts; personal assistant to attorney.
Duties:
*Exemplifies superior telecommunication skills to articulate a warm and calming atmosphere for stressed current clients and potential clients calling to inquire about legal services.
* Welcomes clients and visitors, in person or on the telephone; answering or referring inquiries.
* Optimizes clients' satisfaction, consultation/meeting time, by scheduling appointments in person, via e-mail or by telephone.
* Keeps client appointments on schedule by notifying provider of client's arrival, while servicing the client in preparation for meeting with attorney (accepting payment and copy/scanning information pertinent to initial meeting).
*Scans all in-coming and out-going correspondence for clients and attorney, confirming all potential client meetings, creating client packets, and assist with social media marketing tools for law firm.
* Maintains client files (Opening and Closing Client case files).
* Obtains revenue by recording and updating financial information; recording and collecting client payments.
*Processes all in-coming and out-going mail.
* Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.
* Protects patients' rights by maintaining confidentiality of personal and financial information.
* Maintains operations by following policies and procedures; reporting needed changes.
* Contributes to team effort by accomplishing related results as needed.
* Assists lead attorney while acting as personal assistant.
Skills/Qualifications:
Ideal candidate will be professional, highly articulate, work well in a fast paced environment and have superb Multi-tasking, Flexibility, Telephone Skills, Customer Service, Time Management, Organization, Attention to Detail, Scheduling, Word Processing, Professionalism, Quality Focus. In addition, said candidate should exhibit superior computer skills excelling in Word Perfect X5, Microsoft Outlook, and Microsoft Excel.
