Administrative Assistant / Abstractor
Position Summary
We are looking for a dependable, organized, and friendly individual to join our team. This position is ideal for someone who enjoys working in a professional office environment, providing excellent customer service, and assisting with a variety of administrative and abstracting tasks. No prior abstract or title experience is required—we will train the right candidate.
Responsibilities
Answer and direct incoming phone calls in a professional and courteous manner.
Greet customers and provide exceptional customer service.
Process incoming and outgoing mail.
File and organize documents, both paper and electronic.
Enter checks and process payments using QuickBooks.
Assist with data entry and maintaining accurate records.
Assist with order intake
Monitor office supplies and maintain an organized workspace.
Support team members with general office and administrative duties.
Abstracting Responsibilities (Training Provided)
Learn to read and understand legal descriptions and property records.
Assist with preparing and updating property abstracts
Search public records for deeds, mortgages, releases, and other recorded documents.
Review county records to verify property ownership and transfer history.
Enter property and legal information into company software.
Assist with title-related searches and document retrieval.
Learn Iowa title and abstract procedures while working alongside experienced staff.
Perform quality checks to ensure records are accurate and complete.
Qualifications
High school diploma or equivalent.
Strong organizational skills and attention to detail.
Excellent communication and customer service skills.
Basic computer knowledge, including Microsoft Word; WordPerfect; QuickBooks experience.
Ability to multitask, prioritize work, and meet deadlines.
Dependable, professional, and eager to learn new skills.
Ability to work independently and as part of a team.

Preferred Qualifications
Experience in an office, administrative, customer service, accounting, banking, legal, or real estate environment is a plus.
Familiarity with QuickBooks is preferred but not required.
Real estate, title, abstracting, or accounting experience is beneficial but not required. We are happy to train the right candidate with a willingness to learn and a strong attention to detail.
