Job Title: Legal Operations Coordinator
Location: Sauk Rapids, MN
Position Type: 35 to 40 hours per week

We are seeking a detail-oriented and organized individual to join us as our Legal Operations Coordinator.
Responsibilities:
Client Communications:
• Serve as a point of contact for client inquiries.
• Communicate with clients regarding billing, payments, and general inquiries.
• Provide exceptional customer service and maintain positive client relationships.
File Management:
• Open and organize client files, ensuring all necessary documents are included.
• Maintain and update electronic and physical client files.
• Assist in document management and organization.
Maintain Client Information:
• Ensure accuracy and completeness of client information in the firm's database.
• Update client contact information and case details as needed.
• Safeguard client confidentiality and adhere to data protection policies.
Executive Assistance:
• Provide administrative support to the attorney, including managing calendars, scheduling appointments, and arranging meetings.
• Prepare legal documents, correspondence, and reports.
• Assist with legal research and document drafting as directed.
Bookkeeping:
• Manage accounts payable and receivable.
• Process client payments and maintain accurate records.
• Reconcile bank statements and ensure financial transactions are accurately recorded.
• Prepare financial reports for attorney review.
Client Invoicing:
• Generate and send invoices to clients.
• Monitor and follow up on outstanding invoices.
• Address client billing inquiries and resolve discrepancies.
Qualifications:
• Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
• Exceptional organizational skills with the ability to multitask and prioritize effectively.
• Attention to detail and accuracy in all work.
• Discretion and respect for client confidentiality.
• Previous experience in a law firm or legal setting is a plus but not required.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with Quickbooks is a plus but not required.
• Experience in bookkeeping, preferably in a legal or professional services environment, preferred.
