Unpaid balances rarely become easier to resolve with time.

When an account remains unresolved month after month, documentation becomes harder to obtain, responsible parties may become less responsive, and the facility’s available recovery options can narrow.

Warning signs that an account may need to be escalated include:
• Repeated promises without payment
• Missing or inconsistent financial information
• Unanswered requests for documentation
• An unresolved Medicaid eligibility issue
• A balance that continues to grow without a clear plan

Facilities should establish defined escalation points based on the age of the account, balance, payment history, and barriers preventing resolution.

• Confirming notices reach the correct person
• Documenting every request and response
• Monitoring changes in the resident’s circumstances
