Legal Administrative Assistant/Office Manager, Medway, MA
Small law firm in Medway, Massachusetts seeks an experienced legal administrative assistant for a full-time position to support two busy family law attorneys/mediators and to manage the daily office administrative and client support needs. Excellent customer service skills, the ability to remain calm under pressure, ability to maintain a high level of client confidentiality, and the ability to work independently required.
Job Responsibilities include:
• Answering phones, greeting clients, conducting potential new client intakes, scheduling initial consultations and client meetings, performing conflict checks;
• Assisting clients with client questionnaires and financial statements, assemble discovery responses and assist clients compile requisite financial and legal documents;
• Drafting correspondence;
• Managing scheduling of conference rooms for lawyers and subtenants;
• Create and maintain client electronic and physical files;
• Process outgoing and incoming mail;
• Scheduling and confirming depositions;
• Arranging service of process with constables;
• Tracking deadlines on legal filings and discovery;
• Scheduling phone calls and meetings;
• Scanning documents into electronic files on Clio;
• Filing and organizing client files;
• Photocopying;
• Creating electronic thumb drives and/or drop box access for clients and opposing counsel;
• Creating trial binders and organizing trial exhibits;
• Running firm related errands (bank, court, post office, etc.-milage reimbursement provided);
• Notarize documents;
• Witness Estate Planning Document ex*****on;
• Communicating with court personnel/scheduling departments;
• Keeping conference room clean and prepared for meetings;
• Assisting with collecting trash and recycling;
• Ordering and tracking office supplies and postage;
• Managing relationships with outside office vendors including managing scheduling of repair of office equipment;
• Experience with Clio Law Practice Management, the Family Court Virtual Registry and MA E-File is a plus.
Qualifications:
Prior experience working for a law firm, preferably a family law/domestic relations practice.
Positive and friendly attitude and a team player.
Self-Motivated and ability to multi-task and possess prioritization skills.
Excellent communication and organization abilities.
Notary Public or ability to obtain Notary Public Appointment.
Experience in using Word, Excel, Turbo Law, and Clio. MAC experience a plus.
