Does Your QuickBooks Balance Match Your Bank Account? π If so you may want to screen shot this post!
One of the MOST important parts of keeping clean books is making sure the transactions recorded in QuickBooks Online match what actually happened in your business bank account.
And just because your bank is connected to QuickBooks does not mean everything is automatically correct! π
Hereβs a simple step by step check we do in our office:
1οΈβ£ Log in to your actual bank account first.
Write down your current available/posted balance and pay attention to any transactions that are still pending.
2οΈβ£ Open QuickBooks Online.
Go to Accounting β Chart of Accounts, find your business checking account, and select View Register.
3οΈβ£ Compare the transactions.
Look at your bank activity and compare it to the QuickBooks register. Make sure deposits, checks, ACH payments, debit card purchases, fees, transfers, and other activity are recorded correctly.
4οΈβ£ Review your Bank Transactions.
If your bank is connected to QuickBooks, review the transactions waiting to be categorized or matched. QuickBooks recommends reviewing downloaded transactions and either matching them to existing entries or categorizing them correctly before adding them to your books.
β οΈ Watch for duplicates!
If a transaction is already entered in QuickBooks, you usually want to MATCH it not add it again.
5οΈβ£ Look for missing transactions.
If something cleared the bank but isn't in QuickBooks, find out why. Common culprits include:
βοΈ Bank fees
βοΈ ACH withdrawals
βοΈ Automatic payments
βοΈ Deposits
βοΈ Transfers between accounts
βοΈ Checks entered for the wrong amount
βοΈ Duplicate transactions
6οΈβ£ Donβt forget outstanding transactions.
Your QuickBooks register and today's bank balance may not always be identical because QuickBooks can contain checks or payments that haven't cleared the bank yet.
Thatβs why we don't simply change QuickBooks to force the balances to match!
7οΈβ£ RECONCILE! β
At the end of the month, use your actual bank statement to reconcile the account. Reconciliation compares the transactions recorded in QuickBooks with the transactions reported by your bank and helps identify bookkeeping mistakes or missing activity.
