Job Title: Administrative Assistant / Paralegal
Location: Lompoc (Vandenberg Village), California
Practice Areas: Estate Planning, Probate Administration, Trust Administration, Real Property Law
Employment Type: Full-Time (32 hours per week, Monday-Thursday, 8:00-5:00)
Compensation: Commensurate with experience
About the Firm:
We are a solo practitioner law office located in Lompoc (Vandenberg Village), California, providing personalized legal services with a focus on estate planning, probate and trust administration, and real property matters. Position Overview:
We are seeking a detail-oriented and proactive Administrative Assistant/Paralegal to support the attorney with both administrative and legal tasks. The ideal candidate will be organized, dependable, and comfortable managing multiple responsibilities in a small office setting. This is a dynamic position that offers the opportunity to be involved in all aspects of the firm’s operations and client matters.
Key Responsibilities:
Administrative Support
• Answer phones, schedule appointments, and maintain office calendar
• Greet/interact with clients in the office
• Draft correspondence and other documents related to client matters for attorney review
• Printing of estate planning documents and preparation of document binders
• Maintain office organization, cleanliness, and supplies
• Interface with courts, clients, financial institutions, and government agencies
• Actively monitor email, phone calls, and other client communication to maintain current project status and actively prioritize newly assigned projects
• Appropriately respond to client questions and concerns
• Support marketing and client communication efforts as needed
Legal Support
• File documents with various California Courts in compliance with all court rules on electronic platform.
• Proactively assist clients through Probate Administration with attorney oversight
• Conduct legal research on client related issues
• Maintain organized client files (both electronic and hardcopy)
• Track deadlines and manage calendaring of court hearings, client meetings, and critical dates
Qualifications:
Required
• Exceptional written and verbal communication skills
• Ability to work independently, exercise good judgment, and maintain confidentiality
• High proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)
• Notary Public commission (or willingness/ability to obtain)
Preferred
• Knowledge of Clio case management software (Grow, Manage, and Draft)
• Minimum of 3 years of experience in law office setting
• Paralegal certification or equivalent education/training
• Knowledge of California probate and trust procedures and terminology
