That's not just legal theory. It's practical.

A lawsuit doesn't move forward until the defendant is properly served. An eviction doesn't proceed until notice is properly delivered. A judgment means nothing if it was obtained without valid service.

That's why process serving isn't a formality you hand off to whoever is cheapest. It's the step that determines whether everything else holds up.

A collection agency came to us after their internal skip trace process kept hitting dead ends.

They had names, old addresses, and phone numbers that were disconnected. Their team had already burned time running the same searches through a budget tool and getting the same stale results.

When does a real estate transaction actually need a notary?

More often than people realize. Here are the common documents:

- Deeds (any transfer of property ownership)
- Mortgages and deeds of trust
- Power of attorney (especially for absentee signers)
- Affidavits related to title or liens
- Loan documents in a closing package

For remote signers, Florida's Remote Online Notarization makes this easier. The signer doesn't have to be in the room. They verify their identity, we meet on video, and the document gets properly executed.

I always recommend having the attorney or whoever drafted the documents available on the call. Not because the notarization is complicated, but because if a signer has a question about what they're signing, that answer should come from the person who wrote it.

Something I get asked: what's it like doing a mobile notarization?

Honest answer: mostly it's straightforward. I show up, verify the signer's ID, confirm they understand what they're signing, and notarize the document.

But every once in a while something's off.

Maybe the document is missing a signature block. Maybe the signer has questions the attorney should really be answering. Maybe the biometric check flags something because the person's appearance changed since their ID photo.

Those are the moments where experience matters more than the stamp.

I've been doing this long enough to know when to pause and when to push through. And I'd rather slow a signing down for five minutes than create a problem that takes five weeks to fix.

That's true for mobile notarizations and remote ones alike.

- The subject moved recently and the database hasn't updated yet
- They're temporarily staying somewhere that's not in their name (a friend's place, a relative's house)
- The building has a front gate or security that's blocking access
- The address is correct but the timing is off

A clean report is a starting point, not a guarantee. Sometimes the next step is on-the-ground verification: checking for vehicles, confirming occupancy, trying different times of day.

Identity verification is becoming a requirement in places people didn't expect it.

Banks have had Know Your Customer rules for years. Now we're seeing similar pressure show up in notarization, data access agreements, professional licensing, and more.

In Florida, remote online notarization already requires signers to verify their identity before anything gets signed. Biometrics, knowledge-based authentication, government ID upload. It's all there.

And honestly? That's a good thing.

I recently notarized a data access agreement for someone working with a state agency. A few years ago, nobody would have thought to notarize something like that. Now it makes complete sense.

The bar for proving you are who you say you are is going up across the board. That protects everyone in the transaction.

An attorney reached out a few weeks back. Said he needed help with a notarization, that he needed my expertise.

I said sure, send over the document.

It came through. I looked it over.

No notary block. No signature line for the signer. Nothing.

I sent it back and told him what was missing. He needed to fix the document before we could do anything.

Haven't heard from him since.

I get it. Attorneys are busy. But here's the thing: if I just stamped that document and moved on, we'd have created a problem, not solved one. A notarized document with no proper signature page is worthless at best and a liability at worst.

Part of this job is knowing when to say: we're not ready yet. Fix this first.

That's not slowing things down. That's protecting you.
