🧠 What Is eNotary? Crystal Carroll : Notary Public (Coming Soon)

An eNotary is a commissioned notary public who performs notarizations electronically, using:

- Digital signatures
- Electronic seals
- Secure platforms for identity verification and document handling

Unlike traditional notarization, eNotary services can be done in person or remotely, depending on state laws. When done remotely, it’s often referred to as Remote Online Notarization (RON).

🛠️ How eNotary Works

Here’s the typical process:
- Document Upload
- The signer uploads the document to a secure eNotary platform.
- Identity Verification
- Methods include:
- Credential analysis (e.g., checking ID features like holograms)
- Knowledge-based authentication (KBA) — quiz-style questions based on personal history
- Biometric checks in some advanced platforms
- Live Video Session (if remote)
- The signer and notary connect via video to witness the signing.
- Digital Signing & Sealing
- The signer uses an electronic signature.
- The notary applies a digital seal and certificate.
- Audit Trail
- The session is recorded.
- A digital journal entry is created for legal compliance.

đź’ˇ Benefits of eNotary

- Speed & Convenience: No travel, no printing — just upload and sign.
- Security: Tamper-proof digital records and encrypted platforms.
- Accessibility: Great for remote workers, rural areas, or mobility challenges.
- Cost Savings: Cuts down on paper, postage, and travel expenses.
- Eco-Friendly: Fully paperless process.

🏛️ Legal Status (Not Legal Advice)

Most U.S. states, including Colorado, allow eNotary services. Some require the notary and signer to be physically present even for electronic notarization, while others permit full remote sessions under RON laws.

Always check your state’s specific regulations before proceeding

Notary Service Workflow

From the moment a client reaches out to the final seal and delivery, here’s the step-by-step progression of a notary engagement.

1. Client Inquiry & Scheduling
- Client clicks “Book Now” or calls the notary hotline.
- Notary confirms the type of document and signing requirements.
- Parties agree on date, time, and location (in-person or remote).
- Client receives a booking confirmation with checklist of IDs and documents.

2. Document Preparation
- Client uploads or drops off documents to be notarized.
- Notary reviews for completeness:
- Signer name, dates, and signature lines
- Jurat or acknowledgment blocks present
- Notary flags missing elements and prompts the client to correct them.

3. Identity Verification
- Signer presents government-issued photo ID (physical or via we**am).
- Notary inspects ID security features or runs credential analysis.
- (For RON/eNotary) Signer completes knowledge-based authentication (KBA) or biometric check.
- Notary logs verification method and ID details in the journal.

4. Notarization Session
- Notary reads the notarization statement aloud.
- Signer acknowledges understanding and signs in the notary’s presence.
- Notary applies wet-ink or electronic seal and signs.
- (For RON) Session is recorded; digital certificate is appended.

5. Post-Notarization Compliance
- Notary enters a journal record:
- Date, time, document type, fee charged
- Signer’s ID information and verification method
- Notary stores journal (physical or encrypted digital log).
- If required, notary notarizes an apostille or certificate of authentication.

6. Document Delivery & Closure
- Notary returns documents via secure courier or encrypted email.
- Client confirms receipt and signs off on completion.
- Notary issues invoice or receipt and collects payment.
- Case is closed; client invited to review service.

🧠 What Is RON? Carroll : Notary Public (Coming Soon)

Remote Online Notarization allows a notary and signer to meet virtually via secure video call to notarize documents. No need to be in the same room—or even the same state. It’s legal in most U.S. states and growing fast.

🛠️ How RON Works

Here’s the typical flow:
- Identity Verification
- Signer presents a valid photo ID via we**am.
- Some platforms use knowledge-based authentication (KBA)—like quiz questions based on credit history.
- Others use credential analysis or biometric checks to spot deepfakes.
- Live Video Session
- The notary and signer connect through a secure platform.
- The notary witnesses the signing in real time.
- Electronic Signatures & Seals
- Documents are signed digitally.
- The notary applies an electronic seal and digital certificate.
- Recording & Journaling
- The session is recorded.
- A digital journal entry is created and stored securely.

🧾 What Can Be Notarized?

RON is used across industries:
Real Estate, Deeds, mortgage closings, Legal Services, Affidavits, motions, power of attorney,
Financial Services, Trusts, beneficiary changes, auto title transfers, Government, Child custody agreements, quitclaim deeds, etc.

🌍 Where Is RON Legal?

RON is permitted in most U.S. states, including Colorado where you're located. Some states have temporary permissions, and a few still don’t allow it—but many recognize out-of-state RONs if done legally.

đź’ˇ Benefits of RON

- Convenience: Notarize from anywhere—home, office, even abroad.
- Speed: No travel, no waiting. Great for urgent documents.
- Security: Advanced tech helps prevent fraud.
- Accessibility: Ideal for rural areas or people with mobility issues.

When is a Notary Public required? Crystal Carroll : Notary Public

Notarization is required whenever an independent witness must verify a signer’s identity and willingness to sign, typically for legal, financial, real estate, estate-planning, business, family-law, or immigration documents—think deeds, affidavits, powers of attorney, wills, bills of sale, contracts, and consent forms.

Notarization extends beyond real estate and estate documents to business filings, academic verifications, healthcare directives, and travel consents, all governed by state-specific rules and often enhanced by lender or court requirements. Even when not mandatory, adding a notarization can deter fraud and boost enforceability. Remote Online Notarization and eNotary platforms now let you complete many acts securely online. Skipping required notarization risks invalid documents, stalled transactions, and potential legal disputes.
