The candidate for this position will be successful if they are able to execute a variety of secretarial duties of a confidential nature. These tasks will include working with the attorney with a series of administrative functions. Therefore, the candidate will have to have effective time management and organizational skills coupled with the ability to be detail oriented.
Duties and Responsibilities:
•Type, edit, and proofread correspondence, pleadings, and other documents.
•e-File in State courts
•Update and maintain databases (i.e. e-mail lists, Mycase info, client/matter lists). Open, review and route mail as directed.
•Open new files, run conflicts checks, and maintain all client and general files electronically via Mycase.
•Interact with clients, visitors and attorneys/staff from other offices via phone e-mail and in-person.
• Make appointments, meetings and maintain and manage attorney calendars (including court dates and deadlines
•Accurately enter attorney time into timekeeping system and assist attorney in processing monthly client invoices and expense reports.
•Maintain professional appearance and attitude; maintain good public relations and customer service with clients; maintain confidentiality of attorney-client relationship.
Skills & Competencies:
• Advanced knowledge in formatting briefs, pleadings and other litigation documents
• Knowledge of e-filings and Illinois and Federal Court procedures
• Knowledge of Real Estate; Family Law; Immigration; and Estate Planning
• Knowledge of legal terminology
• Excellent written and verbal communication skills
• Ability to deal courteously and effectively with others
• Ability to read, interpret and follow instructions
• Personable, professional, detailed-oriented and a problem solver
• Able to prioritize tasks in a high-pressure environment
• Strong organizational skills combined with the ability to work independently and be resourceful with problem solving must be able to maintain a high degree of confidentiality, and consistently produce high-quality work product.
Candidates must be proficient in and have knowledge of relevant software applications (Mycase, Family Law Software, Excel, Word)
Candidates must be fluent in Spanish (Speak, read, write).
