Seeking Office Manager
SpencePC—an elite litigation boutique that specializes in IP and complex litigation—is seeking an experienced Office Manager to assist in restructuring our Chicago office. The role is best suited for someone who is technology-forward and a skilled problem-solver with outstanding organizational and communication skills. Superb knowledge of Word, Excel, Outlook, and Adobe is also required. We seek someone who is detail-oriented with the ability to multi-task and prioritize. Ideally, we seek someone with experience in managing a professional services office.
Our Office Manager is responsible for serving as the primary contact for Operations, Human Resources, Finance, and Client Relations. The Office Manager will also be called on during trials to provide general litigation support. The position works in close coordination with the Firm’s Managing Partner.
Examples of specific duties include:
• Operations: maintaining our process manual; coordinating third-party contracts; tracking attorney and law firm licensing and compliance; maintaining document management systems; providing training and support for Firm technology; maintaining hardware and software solutions and implementing process-improvements; maintaining Firm calendars and budgets.
• Human Resources: maintaining our employee manual; supporting recruitment, retention, and termination activities; managing employee benefits; coordinating employee reviews; scheduling of employee training and Firm-wide activities; maintaining HR compliance.
• Finance: managing accounts receivable and payable; reviewing time entries in our billing system and preparing and sending invoices; interfacing closely with bookkeepers, tax accountants, and Managing Partner regarding financial management and taxes; managing banking, credit cards, and loans; managing expense reporting and reimbursement.
• Client Relations: managing client and potential client communications; serving as resource for clients on practice management software; coordinating client development and educational efforts; working with third parties to maintain and improve Firm website and marketing collateral; tracking engagement letters and potential client conflicts.
