Important information regarding job changes!!!

How to properly notify the Voivodeship Office (Urząd Wojewódzki) about job loss and changing employers – Step-by-step guide

Notify the Voivodeship Office within 15 working days of losing your job
You are required to inform the Voivodeship Office within 15 working days (approximately 3 weeks) from the date of termination.
If your Voivodeship Office does not provide a specific form for this, you can write a free-form letter.
Be sure to include in the header: your full name, date of birth, case number, decision number, residence card number and series (if applicable), and your correspondence address.
In the body of the letter, include the name of the company you left, its NIP (Tax ID), address, and the exact date of termination.
Send this notification with a yellow acknowledgment slip (żółta zwrotka) and attach a copy of the termination agreement or świadectwo pracy (certificate of employment), if available.
Keep a copy of the letter and all attached documents for your records.
Alternatively, you may submit the letter in person at the office — bring two copies and request that one be stamped with the date of receipt for your own records.

Find a new job within 30 days from the date of job loss

If you are a Ukrainian citizen, send a copy of your new employment contract and a letter stating that you have started a new job.

If you are a citizen of another country, you must apply for a change of decision (zmiana decyzji). Submit the following:

Application form for change of decision
Annex from the new employer
ZUS ZUA (social insurance registration form)
Proof of payment (240 PLN)
Copy of the current decision, residence card, and passport

If you do not find a new job within 30 days
Register with the Labour Office (Urząd Pracy) and obtain confirmation of your registration.
Send a letter to the Voivodeship Office explaining the reason you haven’t started working yet and request an extension of the deadline to find a new employer.
This extension can be granted twice, for a maximum of 30 days each time.
Please note: Not all offices agree to grant such extensions. If your request is denied, you may need to submit a new application for a residence permit under different circumstances or try to find a job before your case is assigned to an inspector.
Submitting a new application legalizes your stay.
If you change voivodeships (regions)
You must notify the Voivodeship Office that issued your residence card that you have changed voivodeships.
Your case will be transferred to the new office.
There, you must submit an application for plastic card replacement, along with:
Two passport-sized photographs
Proof of address (zameldowanie)
Copy of your current decision
Additional important notes
Most Voivodeship Offices require original documents or notarized copies.
If you send only plain photocopies, the Office may not consider your notification valid.
Your previous employer is also obligated
The employer on whose basis you received your residence card is legally required to inform the Voivodeship Office within 15 calendar days of your termination.
If you do not send your notification in time, the office may start the process of revoking your residence permit.
If you completed a post-secondary school (policealna) or higher education program while holding your residence permit
You are required to send a copy of your diploma to the Voivodeship Office.
This will automatically remove the employment-based condition from your residence permit.

7 things you should know about lawyers:

1. Ask your lawyer to show proof of their legal education. Make sure they’re actually qualified—some foreigners pretend to be “lawyers” without any credentials.
2. A real lawyer will never promise you specific dates for getting your TRC. Not even the migration inspector can guarantee that.
3. If your lawyer offers to get you fake work documents (like a fake work permit or Annex 1) — run. That’s not helping you, it’s putting you at risk of criminal charges for document forgery.
4. Before starting any cooperation, ask to see the contract. It should be in two languages and clearly state the price and services included.
5. Never sign documents you don’t understand.
6. If your lawyer insists on cash payments only — that’s a red flag. You may not be able to prove you paid. Always pay by card or bank transfer.
7. Even big companies with a 5.0 rating can scam you. Be cautious.

💡 Lifehacks for Legalizing Your Stay in Poland 🇵🇱
1. Apply for a Residence Card Before Your Documents Expire!
📅 Lifehack: Apply for an extension or a new residence permit at least 30 days before your current documents expire. Submitting your application on time ensures that your stay remains legal, even if the decision is issued after the expiry date.

2. Take Advantage of the "Job Recommendation Program"
💼 Lifehack: If you're working in Poland, under the Foreigners Act, your employer can assist you in the process of legalizing your stay by submitting a work permit application. The "Job Recommendation Program" for foreigners is an excellent solution if your occupation is in high demand in the labor market.

3. Documentation and Deadlines – Use Reminders!
📅 Lifehack: To avoid forgetting important deadlines related to residence legalization, set reminders on your phone or use an online calendar. This will help you stay on top of deadlines for submitting applications for residence card extensions or permanent residence applications.

4. Regularly Check the Status of Your Application Online
🖥 Lifehack: After submitting your residence application, you can track the status of your case online on the Office for Foreigners website. It's a quick way to find out whether your documents have been accepted and what the next steps are.

5. Gather All Required Documents Before Submitting Your Application
📄 Lifehack: Before applying, prepare all necessary documents in one place to avoid having to submit additional paperwork later. The sooner you submit the full set of documents, the faster your application will be processed.

6. Don’t Wait Until the Last Minute – Handle Your Affairs Early
⏰ Lifehack: Instead of waiting until the last day, try to handle your residence legalization matters as early as possible. Delays in the system may cause longer waiting times for decisions, and your legal status may be at risk.

7. Use Your Student Status to Apply for a Residence Permit
🎓 Lifehack: If you are studying in Poland, you can apply for temporary residence permission based on your student status. After completing your studies, you can apply for further stay or work based on your education.

8. Legal Help = Faster Legalization
⚖️ Lifehack: If you're feeling overwhelmed by the process of legalization, seek the help of a lawyer specializing in immigration law. Understanding the complex procedures and acting quickly will help you avoid mistakes and speed up the entire process.

9. Change Your Status Based on Employment – It's Not Just a Residence Card!
💼 Lifehack: If you have a stable job, you can apply for a temporary residence permit based on employment, which provides you with more rights and opportunities, such as working legally in Poland.

10. Don’t Forget Health Insurance!
🏥 Lifehack: Before submitting your application, make sure you have valid health insurance. This is one of the essential documents often required when legalizing your stay.

⚖️ How to Avoid Deportation: Key Steps You Should Know 🚨
Deportation can be a terrifying prospect, but with the right knowledge and proactive steps, it is often possible to avoid this outcome. Here are some important things to consider:

1. Stay Legally in the Country
Always ensure that your residence permit, visa, or any other legal document is valid. If you notice that your documents are close to expiring, apply for extensions or new permits well in advance.

2. Follow All Immigration Rules
Make sure you comply with all the terms and conditions of your visa. Violating immigration laws, such as overstaying your visa, working without permission, or engaging in activities that violate your legal status, can lead to deportation.

3. Appeal a Deportation Decision
If you have been issued a deportation notice, you might have the right to appeal. It's important to understand the appeal process and deadlines, as this could give you a chance to stay in the country legally.

4. Get Professional Legal Help
If you’re facing the possibility of deportation or need guidance on your immigration status, it’s crucial to consult with a specialist in immigration law. We are here to help you navigate the complexities of the law, understand your options, and represent you in legal matters.

5. Legalize Your Stay
