Digital documents ONLY! Warsaw Immigration Update (Announced April 2026) – This Will Directly Impact Your Application

If you are planning to apply for a residence permit in Warsaw, this is not a minor procedural adjustment — it is a fundamental change in how your application must be prepared and submitted.

Following the official announcement by the Mazowieckie Voivodeship Office in April 2026, the process connected to the MOS2 system is being significantly tightened.

Effective from 27 April 2026:‼️

ALL documents must be submitted exclusively via e-Doręczenia (e-Delivery)
Paper documents will not be accepted at any stage of the procedure

Why this matters more than it seems.
This is not simply a shift from paper to digital uploads.

A valid electronic document must be:⚠️

*digitally generated
*electronically signed

In practice, this means:❌

-Scanned documents are not sufficient
-Original documents cannot be submitted in person or by post
-Applicants cannot certify copies themselves
-Uncertified documents may be rejected

What this change really introduces

This update significantly increases the formal requirements placed on applicants.

Only the following professionals are authorized to certify documents:🎓

~Attorney-at-law (radca prawny)
~Advocate (adwokat)
~Notary

As a result, many applicants will not be able to complete the process correctly without qualified legal support.

In work-based applications, the issue is often not the foreign employee.

It’s the employer documentation — specifically:

➡️ Annex No. 1 (Załącznik nr 1)

And more precisely:

➡️ Whether it was signed by the correct person.

Polish immigration authorities verify employer data directly against
Krajowy Rejestr Sądowy (KRS)

This means they are checking:

*Who is legally authorized to represent the company
*Whether representation is single or joint
*If a proxy (pełnomocnik / prokurent) is properly appointed
*Whether all submitted documents follow the same rules

Even well-organized companies make critical errors:

• Annex signed by HR instead of a KRS-authorized representative
• Missing second signature where joint representation is required
• Improper or undocumented power of attorney
• Inconsistencies between documents

MOS 1.0 System Shutdown Today – New Portal Launching April 27, 2026

As confirmed by the Office for Foreigners, the current MOS 1.0 system is officially shut down as of today.

The new MOS (Migration Online System) will go live on April 27, 2026, marking a major shift in how residence applications are handled in Poland.
