Job Title: Notary Assistant
Job Description:
Supports notary public in handling official notarization processes and day-to-day administrative tasks. His responsibilities include:
1. Document Preparation and Review:
Assisting in preparing documents for notarization.
Reviewing legal documents to ensure they meet the necessary requirements for notarization.
2. Customer Interaction:
Answering client inquiries regarding notarization procedures, required documents, and fees.
Scheduling appointments for notarization and providing information on the required identification and processes.
3. Notarization Assistance:
Preparing the logbook for the notary public, ensuring all details of notarized documents are correctly entered.
Handling document tracking and organizing notarization records to ensure compliance with state laws.
4. Clerical and Administrative Tasks:
Maintaining a filing system for all notarized documents.
Handling office equipment such as printers, scanners, and copiers to prepare and manage documents.
Managing office correspondence, including emails, phone calls, and paperwork related to notarization services.
5. Compliance:
Ensuring all notarization procedures comply with state laws and regulations.
Assisting in verifying the identity of clients according to legal requirements.
6. Confidentiality and Security:
Maintaining the confidentiality of all client information and sensitive documents.
Ensuring the secure storage of notarized documents and certificates.
Skills and Qualifications:
Strong organizational skills and attention to detail.
Basic understanding of legal terminology and notary laws.
Excellent customer service and communication skills.
Proficient in using office software and equipment.
Ability to handle confidential information with integrity.
MUST HAVE TWO YEARS OR MORE EXPERIENCE
VALID DRIVER LICENSE AND TRANSPORTATION
