Property improvement does not always mean a new kitchen or a major refurbishment.

Sometimes it means replacing one weak chair.

Refreshing one tired bedroom.

Removing furniture that is no longer needed.

Improving the welcome information.

Changing an unreliable contractor.

Adding one question to an inspection checklist.

One of the more recent additions to our student inspection checklist was checking every chair for wobbly legs.

It sounds very specific.

That is because good systems often become specific.

A chair can appear perfectly acceptable during a visual inspection. The problem may only become obvious when somebody sits on it.

Once we recognised that weakness, we had two choices.

We could ask everybody to remember it next time.

Or we could improve the checklist.

We chose the checklist.

We take the same approach to the equipment our inspectors carry. Our kit has gradually grown to include light bulbs, carbon monoxide detectors, screwdrivers, meter cupboard keys, tape measures and a key engraver.

Every item has probably been added because, at some point, we needed it and did not have it with us.

A problem becomes particularly expensive when a business pays to learn the same lesson twice.

Every missed item, repeated question and unnecessary return visit gives us information about the system.

The important thing is to capture the lesson.

A tenant reports a repair.
A contractor is booked.
A part needs to be ordered.

From the landlord or agent’s perspective, the issue is being dealt with.

From the tenant’s perspective, nothing appears to be happening.

That is how small problems begin to feel much bigger.

A repair does not always need to be completed immediately to feel well managed.

But the tenant should understand:

• That the report has been received
• Who is dealing with it
• What happens next
• Whether approval is required
• When they will hear again

Even an update saying there is no further update can be helpful.

“The contractor is booked for tomorrow. We have no additional information today, but we will contact you after the visit.”

The technical position has not changed.

The tenant’s understanding of it has.

A repair with no communication can feel ignored.

The same repair, with clear updates, can feel controlled and professionally managed.

Every maintenance update should answer three questions:
What has happened?
Who owns the next action?
When will the tenant hear again?

💬Communication is not something that sits around the edges of property management.

It is part of the product.

👉Before our student tenants move in, we send a series of communications explaining things such as:

• When and where to collect keys
• Why an appointment is needed
• Who to contact
• How to report maintenance
• Utility arrangements
• Internet arrangements
• Bin collections
• Emergency procedures

Some of this information is repeated.

That is deliberate.

Incoming tenants may be moving away from home for the first time, joining a new household and trying to understand several unfamiliar processes at once.

Sending information once does not necessarily mean it has been understood.

One of the questions we receive most frequently concerns internet access.

That may sound like a small operational detail, but to a student who needs to study or work, it can be one of the first things they want resolved.

Good communication does not only answer questions.

It prevents uncertainty from becoming a problem.

Review your own welcome information from the tenant’s perspective.

Is it clear, timely and easy to use?

A working light bulb will not persuade somebody to rent a property.

But several small signs of inattention may persuade them not to.

During our student check-ins, we look at details such as:

• Are all the bulbs working?
• Are the bins empty and in the correct place?
• Are the extractor fans working?
• Is the sealant clean?
• Are the cupboards empty?
• Is the noticeboard complete?
• Can every key be identified?

We now engrave keys wherever appropriate.

In a large student house, there may be keys for bedrooms, external doors, windows, meter cupboards and outbuildings. A handwritten label can easily fall off or become unreadable.

Engraving the key is a small change, but it removes uncertainty for the tenant and our team.

That principle runs through the whole property.

Small details communicate whether somebody has prepared the home carefully.

They also establish the standard from the beginning.

People often treat properties according to the standard they believe has already been set.

👉They are comparing value.

👉Price is easy to see.

👉Value is more complicated.

It includes the location, room sizes, decoration, furniture, cleanliness, photographs, communication and even how easy it is to arrange a viewing.

Two properties can have the same rent and represent completely different value.

I think this is where some landlords become complacent.

A house may have let easily three years ago. But if competing properties have continued improving while yours has remained unchanged, the market will eventually notice.

In my experience, two of the biggest influences on perceived value are decoration and furniture.

The furniture does not need to be luxurious.

But it should be clean, robust, appropriate and preferably look as though it was chosen deliberately rather than collected gradually from several different properties.

The lesson is not that students have suddenly become unreasonable.

The market has simply become more competitive.

A student property is no longer competing only with the house next door.

It is competing with every housing experience the tenant has already seen.

A property can be compliant, cleaned and technically ready—and still not feel ready to the person moving in.

That is why we inspect our student properties again after the cleaning and maintenance work has been completed.

The purpose is not simply to confirm that somebody attended.

It is to check the result.

Was the clean thorough enough?
Was the furniture repaired?
Are the appliances working?

Were the maintenance items identified during checkout actually completed?

We try to walk through the property as though we are arriving with our own belongings.

That change of perspective often reveals things a conventional inspection misses.

There are also occasions when a repair cannot be completed before move-in. In those situations, we tell the incoming tenants what we already know, what has been arranged and what will happen next.

That avoids them discovering the problem and wondering whether anybody has noticed.

Landlords often inspect a property by asking whether it is technically ready.

A tenant experiences it by asking whether somebody has paid attention.

Before your next tenancy begins, walk through the property as the incoming tenant rather than the owner.

September problems usually begin in August.

In reality, our student changeover planning begins much earlier than that.

At Jones&Co, we start thinking about the next tenancy around 12 months in advance.

We need to know when the property will become available, when it should be marketed and how much cleaning, maintenance and inspection capacity we will need.

Cleaners need confirmed dates.

Our team needs enough time to complete the checkouts and check-ins properly.

Contractors need space in their diaries to deal with the problems that only become visible once the previous tenants have moved out.

The calmest move-in days are rarely created by somebody working heroically during the final week.

They are usually created by an organised system that began months earlier.

Before the next student changeover, I would review every property under four headings:

• Safe
• Clean
• Complete
• Ready to communicate

The final week should be used for confirmation, not discovery.
