At Jan Towers Solicitors, we put client care at the forefront of our services. We are a firm of solicitors based in Blackheath, London. We specialise in civil (family, contracts, housing, personal injury), employment, and immigration law. We are currently looking for a Legal Secretary/Legal Support Assistant to provide proactive, efficient, and effective administrative support to the team on a part-time basis (18 hours a week).
Role Requirements & Responsibilities:
Filing
- Facilitate / undertake file management
- Ensure all files that are not current are archived
- Log incoming/outgoing mail
- Maintain accurate client records and file maintenance
Bookkeeping
- Record all incoming and outgoing monies on a spreadsheet
- Manage petty cash
Scheduling
- Arrange appointments between clients and solicitors
- Ensure all tasks and deadlines are up to date in diary
Casework
- Maintain case files and file applications
- Type up contact sheets and tabulate case costs
- Build court bundles and liaise with the courts
- Proofread and edit legal documents, letters, and contracts
Administrative
- Assist with answering the telephone, accurately taking messages, and relaying information to solicitors
- Assist solicitors with the billing process, drafting contracts, and covering letters
- Ensure invoices are sent out on a timely manner and following up on payments with clients
- Photocopying and scanning
Client & Team Support
- Proactively complete follow-up tasks
- Strive to provide the highest levels of support to clients
- Build and maintain relationships with clients and internal team
- Develop knowledge of the department's clients and their business
Experience and Qualifications:
- Excellent command of the English language
- Good level of basic education including Grade C or above in Maths and English at GCSE (or equivalent), undergraduate degree preferred
- Previous experience in a professional services administrative support role is desirable
- Legal educational background preferred
- Experience in diary management is desirable
- Competent with Microsoft Office (Word, Excel, Outlook etc), Microsoft 365 and using data management systems
- Content development & social media management skills are desirable
