What Are We Looking For?
We are seeking an attentive and motivated Legal Assistant and a highly organized bookkeeper. These are two separate positions. Both are full-time positions in our boutique law firm located in St. John’s, NL. The successful candidates will work Monday to Friday with standard work hours of 35 hours per week.
Responsibilities for the Legal Assistant include:
● Coordinating and drafting routine legal documents and correspondence for lawyer review;
● Booking client meetings, discoveries and arbitrations;
● Client intake, conflict searches, and opening new client files;
● Maintaining up-to-date client files, both paper and electronic, with the use of in-house document management system;
● Assisting with Real Estate transactions;
● Maintaining close contact with the court and the supervising lawyer with respect to ongoing proceedings;
● Maintaining lawyer schedule and agenda;
● Reviewing and prioritizing incoming mail,
● Processing large volumes of documents, with ability to use technology to store and organize files diligently;
● Transcribing dictations;
● Photocopying, collating and binding legal documents.
Qualifications:
● At least 5 years of experience as a Legal ● Assistant or Paralegal in a law firm setting.
● Excellent proofreading, spelling, and grammar skills.
● Strong keyboarding skills and an affinity to learn new technology.
● Knowledgeable experience with Real Estate Transactions and PC Law is an asset.
● Transcription experience is an asset.
● Energetic and willing to pitch in wherever necessary.
● Ability to work both independently and collaboratively.
● Organized, highly detail-oriented, and able to effectively prioritize.
● Accurately follows instructions and asks questions to clarify requirements & ensure work is done properly.
● Strong written and verbal communication skills.
Responsibilities for Bookkeeper include:
● Bookkeeping and general accounting;
● Reviewing and prioritizing incoming mail and invoices;
● Completing accounting for real estate transactions and estate matters;
● Ordering office supplies, coordinating contracts with suppliers and paying bills;
● Client intake, conflict searches, and opening new client files;
● Maintaining up-to-date client files, both paper and electronic, with the use of in-house document management system;
● Inputting work time, tracking and inputting disbursements;
● Issuing invoices and collecting fees and disbursements charged;
● Payroll for small staff;
● Make daily bank deposits and monitor electronic banking transactions; and
● Drafting monthly financial reports for the Firm.
Qualifications:
● At least 5 years of experience as bookkeeper in an office setting.
● Experience in accounting for a law firm is an asset.
● Knowledgeable experience with PC Law is an asset.
● Excellent attention to detail.

● Organized, Flexible and able to effectively prioritize.
