Our growing team is passionate about delivering personalised and professional immigration services, and weโre looking for a motivated Administrative Assistant to join us on a part-time basis.
About the Role
As our Administrative Assistant, you will play an important role in supporting our legal team with immigration matters. You will assist with organising documents, managing client files, and helping ensure daily tasks are completed efficiently. This position requires strong organisational skills, attention to detail, and the ability to communicate clearly and professionally with clients and colleagues.
What Weโre Looking For
The Ideal Candidate Will:
ยท Have a minimum of two years' experience in an administrative or professional support role, preferably within a legal or immigration environment
ยท Demonstrate excellent written and verbal communication skills, with a confident and professional telephone manner
ยท Possess strong organisational and time management skills, with the ability to manage multiple priorities effectively
ยท Be proficient in Microsoft Office applications and comfortable using legal or client management software (experience with ActionStep is an advantage)
ยท Show strong attention to detail, sound judgment, and a high level of discretion
ยท Bring a proactive, solution-focused approach and a willingness to learn and contribute to team outcomes.
Key Responsibilities
In this role, you will provide vital administrative and legal support to our immigration law team. Your tasks will include:
ยท Preparing and managing documentation for immigration applications and client matters
ยท Drafting legal letters, forms, and general correspondence
ยท Creating and maintaining client files, including onboarding new clients and updating records in ActionStep
ยท Scheduling appointments and managing important dates and deadlines
ยท Handling phone calls, emails, and mail in a professional and timely manner
ยท Communicating with clients, team members, and third parties in a courteous and helpful manner
ยท Providing general office support, including scanning, filing, photocopying, and assisting senior staff as needed
The ability to speak a second language, especially Spanish, is highly regarded and would be beneficial in communicating with our diverse client base.
