There is nothing that screams ā€œunprofessionalā€ more than being disorganized and unprepared… and after noticing how difficult it was to keep things in place in my last bag, I knew it was time for an upgrade.

What may seem like an added step to the signing process is actually one of the notary’s most vital steps in identity verification: recording the notarization.

I don’t know about you, but the older I get, the more my moment starts to fade. As a notary, relying on memory instead of utilizing a journal could turn into a costly mistake.

Wills can be contested. Divorce proceedings become highly scrutinized. Sometimes, even notaries make mistakes. It’s not impossible for a notary to be subpoenaed, and the last thing you want to tell the judge is ā€œYour Honor, I don’t remember.ā€ 😳

Writing the details down matters, especially in these situations.

While some states require strict record keeping by notaries, others do not. Regardless, it is best practice to record the notarization in your journal before your pen ever touches their paper. āœšŸ¼

Between running a mobile office out of my Volvo to running the kids around to summer camps, this car has had its fair share of crumbs and crackers stuck in its nooks and crannies.

Scheduling a signing soon? Watch this before you book!

Notarization is a process designed to protect your identity, your willingness, and the integrity of the documents.

Before you schedule your appointment, here’s what you need to know šŸ‘‡šŸ¼

1. Never sign your documents in advance. 9 times out of 10, the notary must be present to witness your signature.

2. Have your government-issued, unexpired identification readily available. If you’re unsure whether or not your form of ID will be accepted, ask your notary. A valid state driver’s license is the most common form.

3. A notarization cannot move forward without the signer’s physical presence. A notary cannot verify identity, review a physical ID, or confirm willingness and understanding if the signer isn’t there.

These are what I deem as the top 3 non-negotiables. I won’t schedule a signing if these criteria cannot be met.

More often than you’d think, I’ve had to reschedule appointments because a signer said on the phone they had valid ID, but at the time of signing, they couldn’t physically produce it, presented an expired ID, or brought something that simply doesn’t meet state requirements.

While it may feel like a small detail, proper identification is the foundation of every notarization. Our primary focus is to verify identity, so not taking this step seriously is risky.

Before scheduling your appointment, your first step should always be confirming that you have a valid, acceptable form of ID ready to go. It’s a simple check that can save time, avoid delays, and ensure your signing goes smoothly.

In this line of work, we don’t ever assume… we verify.
