Tips to Avoid Common Notarization Mistakes
Verify Identification Thoroughly:
Always check the ID carefully to ensure it’s valid and belongs to the signer.
Ensure the ID is government-issued and has a photo.
Complete All Document Details:

Double-check that all sections of the document are filled out before notarization.
Ensure there are no blank spaces that could be fraudulently filled in later.
Use Correct Notarial Language:

Make sure the notarial certificate contains the correct wording for your state.
Verify that the type of notarization (acknowledgment, jurat, etc.) matches the document’s requirements.
Keep a Detailed Notary Journal:

Record all notarizations in your journal, including date, time, type of document, and signer’s details.
Obtain the signer’s signature in the journal for additional verification.
Witness Signatures Properly:

Ensure any required witnesses are present and understand their role.
Verify the identity of witnesses if needed.
Administer Oaths and Affirmations Correctly:

For jurats, remember to administer an oath or affirmation to the signer.
Ensure the signer understands they are swearing to the truthfulness of the document.
Avoid Unauthorized Practice of Law:

Refrain from giving legal advice or interpreting documents for signers.
Refer clients to legal professionals for any questions about document content.
Stay Up-to-Date with Notary Laws:

Regularly review your state’s notary laws and updates to ensure compliance.
Attend continuing education courses or seminars.
Use a Reliable Notary Seal:

Ensure your notary seal is clear, legible, and in good condition.
Refrain from using electronic seals unless authorized.
Confirm Document Completeness:

Verify that the document is complete and all necessary pages are present before notarization.
Ensure there are no loose or unattached pages.
By following these tips, you can minimize errors and ensure a smooth notarization process. If you have any questions about notarization, feel free to ask us in the comments!
